A to-do list tells you what. Time blocking tells you when. You give each task a slot on the day, so instead of picking from a list every hour, you just do what's next.
How time blocking works
- List everything you want to do today.
- Size each task honestly: 30 minutes, 2 hours.
- Place them on the day, hardest work in your best hours.
- Protect the focus blocks from interruptions.
- Review at night and move what didn't fit.
Option 1: Apple Calendar
Create an event for each block (tap the time in day view and drag to size it). It works, but tasks and events mix together, unfinished tasks don't move on their own, and there's no tick-off when you're done.
Option 2: A timeline planner
A planner built for time blocking keeps your tasks and your day in one place. In ARCO:
- Add tasks to the Tasks list, by project if you like.
- Tap Plan your day on Today and give each task a time and length. It lands on a timeline with a live NOW line.
- Leave small things as Anytime: they stay on the day without a fixed slot.
- Tick blocks off as you finish; habits like the gym sit on the same timeline.
Tips that make it stick
- Leave 20% empty. Things run over; buffers stop one late block from wrecking the day.
- Batch the small stuff. Email and admin in one 30-minute block, not scattered.
- Block your phone during deep work. A focus session that shuts Instagram and TikTok does more than willpower. See how to block apps during work hours.
- Plan the night before. Two minutes in the evening beats twenty in the morning: here's how.
